Day Two: Fundamentals of Time Management: Goal Setting.
Effective time management starts with clear goals and objectives. The biggest mistake of our life is losing sight of "what we are trying to accomplish" and hence falling for fanaticism. In Devil Dictionary, fanaticism means redoubling your efforts after your aim has been forgotten.
Time management helps in realizing, planning and accomplishing your most important goals as quickly as possible.
First of all some basic steps for goal setting:
1. Dream "big dreams". Only big dreams have the power to motivate you and move you. They are the main key to every success.
2. Goals should be in writing. No matter how much development happens, nothing can take place of writing your goals and actions on paper.
3. Goals must be balanced. They should involve all 3 aspects of your life.
First, business, career or financial goals, they are the "WHAT" you want to achieve in your life.
Second, personal, family or health goals, they are the "WHY" for your "WHAT" goals of life. Don't get them mixed up.
Third, personal and professional development goals, these are the "HOW" goals. These are the "HOW" you will achieve "WHAT" in order to enjoy the "WHY".
4. There must be a major definite purpose or goal. One goal that is more important then any other. Even selection of this goal is the most important step towards success. Here's 2 questions that may help you find it:
"What would you differently or stop doing, if you won 1 million euro instantly?"
"What would you dare to do, if knew you couldn't fail?"
5. Goals must written with full detail of specific action(s) needed to accomplish them. Always write your goals in full detail with all the necessary actions or steps involved to achieve it.
Few exercises for you to become more efficient and better in time management as well as life management.
Exercise 1:
Write your 3 most important goals of your life in the morning everyday before writing your day action and goal list. Try to do it in as little time as possible - say around 30 second to 1 minute. This will help you in knowing your own-self better.
Exercise 2:
List everything you will like to be, have or do over the next 5 years. This may your 1 hour, evening or a whole day. So, keep you notebook handy and whenever something comes to your mind just write it down. Remember one thing, you don't need to think about obstacles in your way right now. Think back on things that you may wanted to accomplish in past but couldn't because of time, money, marriage or something else. We are going for quantity now, so let your imagination run wild, let it flow like wind. :-)
Now its time to prioritize your goal by rating them as A,B,C
where
A => something really exciting, fulfillment of which might change your whole life.
B => something you want to achieve, you will enjoy it, it is important but not as important as A goals.
C => something that will be nice to do, have or achieve but not as important as an A or B.
Now transfer all your A, B and C goals to separate sheets.
Now go through your A goals sheet and categorize them as A1, A2, A3 and so on...
Here's a way to do it easily:
Ask yourself, if you could fulfill only 1 goal from this list, which 1 it will be? That's your A1. Now ask that again for just 1 more goal and that will be your A2. Keep going on like this for your A goal list.
Now transfer your A1 goal to a separate list and make a list of everything you can do now or in future to achieve this goal. Write down at-least 10 ACTIONS or STEPS, you can take. Organize this list as 1, 2, 3 and so on... Again repeat the above question with respect to actions or steps, which action will take you closest to your goal, that will be 1 and then 1 more that will be 2 and so on...
Now do this for all your A goal list, after doing this you will have a list of very clear goals and you have them organized in order of priority. You have list of action steps, they are organized in order of priority.
CONGRATULATIONS!!! You have just joined the top 3% goal setter in the world.
5 keys to achieve your goals:
1. Create a clear mental picture of your goals as already realized.
2. Enthusiastically affirm your goals over and over to yourself.
3. Accept 100% responsibility in everything necessary in achieving your goals.
4. Once your is goal clear in your mind, act as if it is impossible for you to fail.
5. Do something everyday to move toward your major goal. As an adage goes "By the yard, it's hard but inch-by-inch, everything's a cinch".
Management by Objectives in career or business goal setting:
1. Define the desired goal or result clearly in discussion.
2. All agree on the plan of the implementation. Define - "What is to be done?" "How it is to be done?" "How will you measure success?"
3. To agree on a schedule, completion time and with regular time to discuss and review progress.
4. To leave the person alone to do the job.
4 considerations for achieving goals:
1. Identify the obstacles between you and your goals. "Whats stopping you?" List all the obstacles, internal as well as external.
2. Determine your limiting step in your goal. There is a step which determine the speed of the accomplishment of goal. Example: If you go for a walk with a kid then your walking speed will be limited by the walking speed of the kid.
3. What knowledge or information is required.
4. Identify the people whose co-operation will necessary.
